Switchboard Operator

Description:

SUMMARY
Answer and direct incoming phone calls, sort guest and employee faxes, and sort/distribute mail to appropriate departmental mailboxes. Switchboard operators will also receive and log packages from UPS and FedEx and then distribute to the proper department. Operators are also responsible for paging employees when needed.

Duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Warmly greet and thank each caller.
Must be able to multi-task efficiently and accurately with a pleasant telephone voice and friendly, professional demeanor.
Responsible for learning how to operate telephone switchboard, including voice mail, dialing codes, etc.
Responsible for sorting incoming mail and distributing them to the proper department mail boxes.
Post outgoing mail with resort postage machine, including replacing tapes and collecting money for postage meter.
Ability to look up guest rooms on the computer and transfer calls to guests as needed.
Record receipt of FedEx packages, UPS packages, and DHL packages.
Record receipt of pickup/charge slips.
Receive faxes for guests and route them to their rooms or meetings.
Charge faxes to appropriate party and/or folio numbers and process all necessary accounting responsibilities associated with billing.
Keep the phone directories for PBX and resort up to date. Print & Circulate
Help people with outgoing FedEx and UPS packages (including packaging them neatly and safely), weigh, enter in book, and charge appropriately following accounting procedures.
Update and distribute resort daily information sheet.
Handle resort emergency calls (i.e. fire calls, medical emergencies, etc.) and facilitate accurate and efficient communication with appropriate parties.
Must be able to work effectively in a fast pace or leisure work environment.
Must keep Sundance business and guest information confidential.
Must speak English accurately and clearly.

Be an ambassador of Sundance inside and outside of work.

DRESS CODE
Sundance recognizes the impact that our image has on the guest’s impression of the resort and the perception of our ability to provide professional service to our clientele. In order to best promote a positive, professional image that meets Sundance guest’s expectations, employees are required to dress in a professional, conservative fashion that is appropriate for their area. Please use the following as a minimum standard:

All aspects of the Personal Appearance policy (SPL#50) must be in compliance.
Reservationists are required to wear nametags at all times while on duty.
Clothing must be unwrinkled and clean, and in good condition (no rips, tears, or frays regardless of whether accidental or fashionably placed).
Blue jeans are permitted.
Appropriate skirt length is from the knee to the ankle.
Tank tops, halter tops, tube tops and spaghetti straps are prohibited.
Sleeveless shirts are permitted for females.
Bare midriffs are prohibited.
Shorts are not permitted.
Dress sandals are permitted for females.
Flip flops are prohibited in all areas.
Tennis shoes are acceptable if in good condition.
T-Shirts (long or short-sleeved) only allowed if they have the Sundance logo on them.
Hats are not allowed.
In sum: Reservationists must be dressed in a way that would be appropriate for face-to-face interaction with a Sundance guest at all times.

Qualifications:

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

TECHNICAL/COMPUTER SKILLS
Must possess a working knowledge of word processing, spreadsheets, internet navigation, electronic mail, SMS, Group Wise and operate radio paging.

LANGUAGE SKILLS
Ability to speak English fluently. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write and read routine reports and correspondence.


MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Must have good memory for memorizing phone extensions.
